Office Admin Assistant

Full Time
Monday - Friday, 8:00 AM - 5:00 PM, No Evenings or Weekends
$19 - $21 Hourly

Essential Duties

Maintain, scan, and file invoices / credits / statements / bills, etc.

Reconcile invoices and credits with monthly vendor statements

Pay monthly vendors / bills

Maintain relationships with vendors, including resolving any discrepancies, disputes, or payment issues.

Maintain QuickBooks Online (QBO), including but not limited to, verifying and categorizing credit card and bank feed transactions, creating rules, identifying and resolving discrepancies, ensuring accurate financial records

Track and report shop supplies / expenses

Create and maintain Google Sheets using formulas, conditional formatting, macros, ect.

Create and maintain Google Docs, Forms, and Slides

Create Google Calendar reminders for Management

Research new vendors and report to Management

Renegotiate discounts / pricing - For example Spectrum, Sirius XM

Audits - detailed review of QBO, vendors, accounts, employee travel / training receipt

Analyze data and generate reports or insights as needed

Assist with Shuttles as needed

Order supplies as needed

Answer the phone as needed

Assist with special projects as needed

Other duties as requested by Management

Qualifications

Must have Associate degree or equivalent

Bachelor degree in Business Administration is preferred

Must have 3+ years of Office Admin experience

Must have strong knowledge of QuickBooks, QuickBooks Online is a plus

Must have strong knowledge of Google suite including Sheets, Docs, Forms, Slides, and Calendar

Must be able to learn proprietary software - TekMetric, WickedFile, WorldPac Speed Dial, etc.

Prior experience in the automotive repair business or related industry is preferred

Must possess a valid driver’s license and be insurable through FCH’s provider

Must be able to lift and / or move up to 25 pounds

Must be proficient in typing with a high degree of accuracy and speed

Must possess basic math skills

Experience working with multi-function printers and scanners is preferred
