Job Overview

We are a Immigration Law Firm seeking a dedicated and organized Bilingual Legal Intake Specialist to join our team. Our clients are our top priority. You will be the first point of contact for clients and visitors, making a positive impression that reflects our company’s values.

Responsibilities

  • Greet and welcome visitors in a professional manner, ensuring a positive first impression.
  • Qualify new leads and determine their suitability for legal services.
  • Manage and nurture the lead pipeline to include converting leads into consults, converting consults into retained clients.
  • Encourage clients to provide positive Google Reviews by providing exceptional customer service.
  • Manage incoming calls, direct calls to the appropriate personnel, provide case status updates to current clients.
  • Provide excellent customer support by addressing inquiries and resolving issues promptly.
  • Perform general office management tasks, including filing, data entry, and maintaining organized records.
  • Manage the firm calendar by scheduling consultations and appointments for the attorney and appropriate team members.
  • Manage payment processing, invoicing, and accounts receivable.
  • Assist with administrative tasks to include securing retainer agreements, sending welcome packets and initial case intakes.
  • Collaborate with team members to ensure efficient office operations.

Experience

  • Fluent in English and Spanish – speaking, reading, writing.
  • Minimum 1-year experience working at an immigration law office.
  • Strong customer service skills. Prior call center experience preferred.
  • Prior sales experience a plus.
  • Strong problem analysis and problem-solving skills. Keen eye for detail.
  • Must have experience with legal software (MyCase, Clio or similar).
  • Proficient in using office equipment and computer systems, including Microsoft Office Suite, Outlook, Teams, OneDrive.
  • Minimum 40 WPM typing speed.
  • Excellent time management skills with the ability to prioritize tasks effectively.
  • Familiarity with front desk operations and phone systems.
  • Strong organizational skills with attention to detail.
  • Ability to work independently and part of a team.
  • Professional etiquette and excellent soft skills a must.
  • Must be a natural person with an outgoing personality and active listening skills.

Interviews will be conducted in Spanish and selected candidates will be tested for proficiency and a written assessment will be performed.

Education

  • High school diploma or equivalent years of experience.

Compensation

  • Starting hourly rate is $17, with potential for a higher rate based on experience.
