Job Description

THIS JOB IS PART TIME ONLY 30 HOURS PER WEEK. MONDAY - FRIDAY 6 HOURS PER DAY.
Experience:
Data Entry, 1 Year (Preferred)
Administrative Assistant, 2 years (Preferred)
Language:
English (Required)

Overlook Administrative Assistant:
Part Time Position Available 30 hours per week.
Must be able to work a flexible schedule.
Generally this position would be scheduled to work 6 hours a day, Monday - Friday.
Primary Duties and Responsibilities:
General Administrative Duties.
Face to Face and Telephone Interactions with Residents.
Manage Internal Processes for Association.
Taking Social Room Reservations.
Processing Vehicle Registrations.
Distributing Parking Permit Sticker.
Maintain Resident Roster Updates.
Key Distribution.
Maintain resident contact information, telephones, and emails, etc.
Assist with Condominium Mailings.
Assists Community Association Manager with some basic accounting work.
Other duties are assigned as needed.
Prepare staff schedule.
Assist in the handling of owner and/or resident request and various concerns.
Respond promptly to security issues on property.
Conduct daily property walks and monthly site reports.
Maintain positive working relationships with owners, vendors and contractors.
Take messages from residents, vendors and contractors for manager and board.
Greets and directs residents, guests and invitees.
Qualifications:
QuickBooks Experience. TOPS Experience. (Preferred)
2 years experience in an office administrative position.
A positive energetic outgoing personality a must.
Customer service/hospitality oriented both in face to face and over the phone interactions.
Must have strong communications skills, customer service skills, and work well with others.
Must have excellent organizational skills and pay high attention to detail.
Ability to work with confidential information.
Ability to multitask.
Must be proficient in office equipment, copiers, PC"s, telephones, faxes, etc.
Must be proficient in Word, Excel with previous experience.
Other software knowledge and proficiencies are a PLUS.
Ability to work extended hours and weekends based on project requirement.
Job Type: Part-time
Pay: $13.00 - $15.00 per hour
